Refund Policy

Review how refunds, subscriptions, cancellations, and billing requests are handled for VinScanPro services.

Thank you for choosing VinScanPro. This Refund Policy explains when refunds, credits, replacement reports, or other billing adjustments may or may not be available for purchases, trials, subscriptions, credits, vehicle history reports, VIN lookups, AI-powered analysis features, and other digital services provided through vinscanpro.com. This Refund Policy is incorporated into and forms part of our Terms of Use. By purchasing, starting a trial, subscribing, generating a report, using credits, accessing a dashboard, or using any VinScanPro service, you agree to this Refund Policy. For purposes of this Policy, "VinScanPro," "we," "us," and "our" refer to Kaelric Dynamics LLC, doing business as VinScanPro, and its owners, officers, directors, managers, members, employees, contractors, vendors, licensors, data providers, affiliates, successors, and assigns. If you do not agree with this Refund Policy, you should not purchase, subscribe to, or use the Services.

01.Digital Services and Finality of Report Generation

VinScanPro provides digital services, including vehicle history reports, VIN decoding, third-party data retrieval, account access, subscription access, AI-powered analysis, dashboard tools, and other online features. Because our Services involve digital access, third-party data queries, report generation, data processing, and instant or near-instant delivery of information, fees may become non-refundable once:
  1. 1A VIN is submitted for processing;
  2. 2A report is generated;
  3. 3A third-party data source is queried;
  4. 4A credit or usage allowance is consumed;
  5. 5A subscription billing period begins;
  6. 6Trial access is activated;
  7. 7Dashboard access, report access, or digital content is made available;
  8. 8AI-powered analysis or decision-support content is generated.
You understand and agree that report generation may cause VinScanPro to incur third-party data, infrastructure, processing, AI, payment-processing, and operational costs, even if the resulting report contains limited information, no negative records, or information you already knew.

02.No Guarantee of Specific Report Content

Vehicle history data depends on third-party, public, private, government, commercial, insurance, auction, title, salvage, repair, recall, and other external data sources. VinScanPro does not guarantee that any report will include any specific record, event, data field, accident history, title brand, salvage record, total-loss record, odometer event, ownership record, service record, recall record, theft record, lien information, auction record, market listing, repair history, or other vehicle-related information. A report may be limited, incomplete, delayed, outdated, inaccurate, duplicated, inconsistent, or unavailable due to the nature of external data sources. For this reason, the following do not automatically qualify for a refund:
  1. 1A report contains limited information;
  2. 2A report shows no accidents or negative records;
  3. 3A report does not include the information you expected;
  4. 4A report differs from another provider's report;
  5. 5A report does not show a record that later appears elsewhere;
  6. 6A report contains data from third-party sources that you believe is inaccurate;
  7. 7A report does not change your purchase decision;
  8. 8A report confirms information you already knew;
  9. 9A report does not include service history, auction photos, lien data, accident details, owner names, or other specific records.
The absence of information in a report does not mean the absence of problems with a vehicle. You are responsible for independently verifying vehicle condition, title status, ownership history, lien status, accident history, mileage, recalls, and mechanical condition before making any vehicle-related decision.

03.No Refund for Vehicle Purchase Decisions

VinScanPro reports and AI-powered analysis are provided for informational purposes only. We are not responsible for any purchase, sale, financing, insurance, repair, registration, title, negotiation, inspection, shipping, or other decision you make based on the use or non-use of our Services. Refunds will not be issued because:
  1. 1You purchased a vehicle after using a report;
  2. 2You decided not to purchase a vehicle after using a report;
  3. 3A vehicle later developed mechanical problems;
  4. 4A seller misrepresented a vehicle;
  5. 5A dealer, auction, marketplace, mechanic, lender, insurer, DMV, or third party provided different information;
  6. 6You believe the report should have changed your decision;
  7. 7You relied on a report as the sole basis for a vehicle-related decision.
You are solely responsible for obtaining an independent inspection, reviewing official records, and making your own vehicle-related decisions.

04.Valid Refund Reasons

VinScanPro may issue a refund, partial refund, credit, or replacement report if we determine, in our sole discretion, that one of the following qualifying circumstances occurred: Duplicate Charge - You were charged more than once for the same transaction, same account, same plan, or same report due to a billing or system error. Blank or Empty Report Caused by System Error - A report was generated but contained no usable vehicle data due to a confirmed VinScanPro system error, not because the VIN itself had limited available data from third-party sources. Report Not Delivered Due to System Failure - You paid for a report or subscription benefit, but the report was not made available due to a confirmed technical failure on our side. Incorrect Billing Amount - You were charged an amount different from the amount disclosed at checkout, unless the difference was due to taxes, bank fees, currency conversion, card issuer fees, payment processor fees, or other charges outside our control. Unauthorized Charge Confirmed After Review - A charge was made without authorization and we are able to verify that the charge was not caused by your own account use, household use, shared device, shared payment method, forgotten subscription, or failure to cancel. Legal Requirement - A refund is required by applicable law. Where appropriate, we may offer a replacement report, account credit, additional credit, billing adjustment, or other reasonable accommodation instead of a cash refund.

05.Non-Refundable Circumstances

Unless required by law or expressly approved by VinScanPro, refunds will not be issued for the following:
  1. 1You forgot to cancel before renewal;
  2. 2You did not use the subscription after purchase;
  3. 3You changed your mind after purchase;
  4. 4You no longer need the report or subscription;
  5. 5You purchased the wrong plan;
  6. 6You entered the wrong VIN and the report was generated;
  7. 7You generated a report for a vehicle you no longer want to review;
  8. 8You expected different or more detailed data;
  9. 9The report contains limited, incomplete, or missing third-party data;
  10. 10The report contains third-party data you believe is inaccurate;
  11. 11The report does not match another provider's report;
  12. 12The report does not show accidents, damage, title brands, odometer issues, theft, recalls, lien information, service history, auction photos, or other expected events;
  13. 13The report shows no negative history;
  14. 14The report does not affect your vehicle purchase decision;
  15. 15The AI-powered analysis, score, summary, or recommendation is not what you expected;
  16. 16You disagree with an AI-generated risk assessment or recommendation;
  17. 17You did not read the Terms of Use, Refund Policy, checkout disclosures, or subscription terms;
  18. 18You failed to complete cancellation before the renewal date;
  19. 19You attempted to cancel by a method not approved for cancellation;
  20. 20Your account was suspended or terminated for violation of our Terms;
  21. 21Your usage was restricted due to abuse, fraud review, excessive use, commercial use, chargeback activity, or policy violation;
  22. 22Your access was interrupted due to device, browser, internet, email, bank, card issuer, or user-side technical issues;
  23. 23Your payment method, bank, card issuer, or payment processor caused a delay, failure, duplicate authorization hold, or temporary pending charge;
  24. 24You used a trial, promotional offer, discount, or subscription in a manner inconsistent with the offer terms.

06.Trial Subscriptions

VinScanPro may offer promotional trial subscriptions, including low-cost introductory trials. The exact trial price, trial length, renewal price, included usage, and cancellation deadline will be disclosed at checkout. Unless otherwise stated at checkout, trial subscriptions automatically convert into paid recurring subscriptions at the end of the trial period unless canceled before the trial expires. By starting a trial, you authorize VinScanPro and its payment processors to charge your payment method for the trial amount and, unless canceled before the trial ends, the recurring subscription amount disclosed at checkout. Trial fees are generally non-refundable once trial access is activated. If you use trial access to generate one or more reports, access dashboard features, use credits, retrieve third-party data, or generate AI-powered analysis, the trial is considered used and non-refundable unless required by law or unless a qualifying billing error occurred.

07.Subscription Renewals

Subscription fees are charged on a recurring basis according to the billing cycle disclosed at checkout. Unless otherwise required by law, renewal charges are non-refundable once processed. You are responsible for canceling your subscription before the renewal date if you do not want to be charged for the next billing period. Failure to use the subscription, failure to log in, failure to generate reports, forgetting to cancel, misunderstanding the renewal date, losing access to your email, not seeing a reminder, or assuming cancellation occurred does not qualify for a refund. If you believe a renewal charge was caused by a verified system error or cancellation failure on our side, you must contact us promptly and provide reasonable supporting information.

08.Cancellation Does Not Automatically Create a Refund

Canceling a subscription stops future renewals. Cancellation does not automatically refund past charges, trial fees, used credits, generated reports, or the current billing period. Unless otherwise stated by VinScanPro or required by law, you may continue to access paid subscription benefits until the end of the billing period after cancellation, subject to usage limits and compliance with our Terms. Deleting your account, logging out, removing your payment method, sending a general support message, initiating a chargeback, uninstalling software, closing your browser, or failing to use the Services does not automatically cancel your subscription. Cancellation must be completed through the cancellation method made available in your account dashboard or another cancellation method expressly provided by VinScanPro.

09.Technical Issues

We may review refund requests involving technical issues if the issue was caused by a confirmed VinScanPro system failure. Refunds generally will not be issued for technical issues caused by:
  1. 1Your internet connection;
  2. 2Your device;
  3. 3Your browser;
  4. 4Browser extensions;
  5. 5Ad blockers;
  6. 6VPNs or proxy services;
  7. 7Email filtering or spam folders;
  8. 8Bank or payment processor delays;
  9. 9Incorrect account information;
  10. 10Incorrect VIN entry;
  11. 11User-side failure to complete checkout, login, cancellation, or report access.
If you experience a technical issue, you must contact us promptly at support@vinscanpro.com and include screenshots, your account email, the VIN involved, the date and time of the issue, and a clear description of what occurred. We may attempt to resolve technical issues by providing access, regenerating a report, issuing a replacement report, applying credit, or taking other reasonable steps before considering a refund.

10.VIN Entry Errors

You are responsible for entering the correct VIN before submitting a lookup or generating a report. Because report generation may trigger third-party data retrieval and digital processing costs, refunds are generally not available for reports generated using an incorrect VIN entered by the user. If you believe the system processed a VIN different from the VIN you entered, you must contact us promptly and provide evidence of the issue.

11.Replacement Reports and Account Credits

In many cases, VinScanPro may choose to provide a replacement report, account credit, additional report credit, subscription credit, or other accommodation instead of a cash refund. Replacement reports and account credits:
  1. 1Have no cash value;
  2. 2Are not transferable;
  3. 3May expire;
  4. 4May be limited to the original account;
  5. 5May be revoked if obtained through fraud, abuse, or violation of our Terms.
Providing a replacement report, credit, or accommodation does not mean VinScanPro is admitting fault or agreeing to provide the same accommodation in the future.

12.Partial Refunds and Deductions

If VinScanPro approves a refund after you have used part of the Services, we may deduct the value of used reports, consumed credits, trial access, subscription access, AI-powered analysis, third-party data costs, payment processing fees, chargeback fees, taxes, discounts, promotional value, or other amounts reasonably associated with services already provided. If a subscription refund is approved after one or more reports have been generated, VinScanPro may deduct the then-current retail value of each report or the value assigned to the consumed plan benefits. If you received a discount, promotional price, coupon, trial, or bundled offer, any refund may be calculated based on the actual amount paid, not the standard retail price.

13.Promotional Offers, Coupons, and Discounts

Promotional offers, coupons, discounts, referral credits, trial offers, and special pricing are subject to the specific terms disclosed with the offer. Unless otherwise stated, promotional payments, trial fees, discounted subscriptions, and limited-time offers are non-refundable once access is activated or a report is generated. If we determine that a promotion was abused, duplicated, resold, manipulated, or used to bypass usage limits, we may deny a refund, revoke access, cancel credits, suspend the account, or terminate the account.

14.Account Suspension and Policy Violations

Refunds will not be provided if your account is suspended, restricted, or terminated because we determine that you violated our Terms of Use, including but not limited to:
  1. 1Fraudulent activity;
  2. 2Payment abuse;
  3. 3Chargeback abuse;
  4. 4Trial abuse;
  5. 5Multiple-account abuse;
  6. 6Unauthorized commercial use;
  7. 7Scraping or automated access;
  8. 8Resale or redistribution of reports;
  9. 9Excessive usage;
  10. 10Misuse of the Services;
  11. 11Security threats;
  12. 12Harassment or abusive behavior toward support personnel;
  13. 13Violation of applicable law.
VinScanPro reserves the right to deny refunds where a user has engaged in suspicious, abusive, fraudulent, or prohibited conduct.

15.Chargebacks and Payment Disputes

If you believe a charge is incorrect, you agree to contact us first at support@vinscanpro.com so we can review the issue. Filing a chargeback does not automatically cancel your subscription, erase your account obligations, or entitle you to a refund. If you initiate a chargeback after receiving digital services, generating reports, accessing subscription benefits, or using credits, we may provide evidence to the payment processor, including checkout disclosures, account activity, login records, report-generation records, VIN lookup activity, cancellation status, IP/device information, communication history, and this Refund Policy. We reserve the right to suspend or terminate accounts associated with chargebacks, unresolved payment disputes, excessive refund requests, suspicious activity, or payment abuse. If a chargeback is resolved in our favor, you remain responsible for any amounts owed, and we may restrict access until the account is brought current.

16.How to Request a Refund

To request a refund review, email support@vinscanpro.com with the subject line: Refund Request Your request should include:
  1. 1Your first and last name;
  2. 2The email address associated with your VinScanPro account;
  3. 3The date of purchase;
  4. 4The amount charged;
  5. 5The payment method used, such as card type and last four digits;
  6. 6The transaction ID, if available;
  7. 7The VIN associated with the report, if applicable;
  8. 8The reason for the refund request;
  9. 9Any relevant screenshots or supporting documentation;
  10. 10Whether you are requesting a refund, replacement report, account credit, or cancellation confirmation.
Incomplete refund requests may be delayed or denied if we cannot verify the transaction, account, report, or issue.

17.Refund Request Deadline

Refund requests must be submitted within 14 days of the transaction date unless a longer period is required by applicable law. Submitting a refund request within 14 days does not guarantee approval. The request must qualify under this Refund Policy. Requests submitted after 14 days may be denied, except where required by law or where VinScanPro determines in its sole discretion that exceptional circumstances apply.

18.Review Process

We aim to review refund requests in a reasonable manner based on the information available to us. During review, we may consider:
  1. 1Checkout disclosures;
  2. 2Account activity;
  3. 3Login history;
  4. 4Report-generation records;
  5. 5VIN submission history;
  6. 6Subscription status;
  7. 7Cancellation records;
  8. 8Support communications;
  9. 9Payment processor records;
  10. 10Prior refund or chargeback history;
  11. 11Evidence of technical issues;
  12. 12Evidence of fraud, abuse, or policy violation.
We may approve, deny, partially approve, offer credit, offer a replacement report, request more information, or take other action consistent with this Policy.

19.Refund Method and Timing

Approved refunds are generally issued to the original payment method used for the transaction. We are not responsible for delays caused by banks, card issuers, payment processors, payment networks, holidays, account closures, expired cards, currency conversion, or other factors outside our control. If the original payment method cannot receive the refund, we may, in our discretion, issue account credit or request additional information to determine whether another refund method is available. Payment processor fees, bank fees, card issuer fees, currency conversion fees, foreign transaction fees, overdraft fees, insufficient-funds fees, and similar charges are not refundable by VinScanPro unless required by law.

20.Taxes

Taxes, government charges, payment processor charges, and similar fees may not be refundable depending on applicable law, payment processor rules, and transaction circumstances. If a tax refund is required or available, it may be processed according to the rules of the relevant taxing authority or payment processor.

21.No Admission of Liability

Any refund, partial refund, account credit, replacement report, goodwill adjustment, cancellation accommodation, or other resolution provided by VinScanPro is offered solely as a customer-service accommodation. Such action does not constitute an admission of fault, liability, wrongdoing, data inaccuracy, system failure, legal obligation, or future refund obligation.

22.Abuse of Refund Policy

VinScanPro reserves the right to deny refund requests, restrict accounts, terminate accounts, block payment methods, block devices, block IP addresses, revoke credits, or refuse future service if we detect refund abuse. Refund abuse may include:
  1. 1Repeated refund requests after report generation;
  2. 2Repeated claims of unauthorized charges inconsistent with account activity;
  3. 3Trial cycling;
  4. 4Multiple-account creation;
  5. 5Chargeback threats;
  6. 6False technical issue claims;
  7. 7Use of reports followed by refund demands;
  8. 8Attempts to obtain free reports;
  9. 9Commercial use through consumer plans;
  10. 10Misrepresentation of account activity or billing history.

23.Relationship to Terms of Use

This Refund Policy is part of our Terms of Use. If there is a conflict between this Refund Policy and the Terms of Use, the Terms of Use will control unless this Refund Policy provides more specific refund-related terms. Capitalized terms not defined in this Refund Policy have the meanings given in the Terms of Use.

24.Changes to This Refund Policy

We may update or modify this Refund Policy at any time. Unless otherwise stated, changes become effective when posted. The Refund Policy in effect at the time of the transaction will generally apply to that transaction, unless a change is required by law or is more favorable to you. Your continued use of the Services after changes are posted constitutes acceptance of the updated Refund Policy.
